Job description
You are responsible for project management and operational delivery of a portfolio of alumni and school level events, as well as the continuous pursuit of improvement and a better guest experience. Your main responsibility in this position is the safeguarding of the operational planning of our events in collaboration with the other Events Project Managers.
In this role, you work closely with the corporate & communications team, programme managers, faculty and alumni managers to deliver an engaging and professional events programme in support of RSM’s strategic priorities and the alumni and student life cycle.
You will support the Associate Director Events with developing and delivery of annual RSM events programme which includes, but is not limited to, Graduations, Academic Events, Alumni Events, Reunions, Corporate Events. You work within the Corporate & Alumni Relations team and in partnership with many stakeholders to deliver a varied and engaging events programme for our community.
Your tasks and responsibilities include:
- Contribute to annual strategic event plans:
- Contribute to the development of the annual strategic RSM Events programme
- Maximise opportunities to promote alumni & corporate events programme through the relevant communications channels.
- Identify and suggest potential new event opportunities; defining their purpose, proposing the required resource and what will be required to trial them.
- Event Management:
- Manage portfolio of events projects with professional events planning and administration
- Project manage events including maintaining clear project plans, agreeing required support from colleagues, and ensuring all event requirements are identified and delivered to plan.
- Ensure quality and first-class experience by following procedures and sharing ideas and best practices with the team members and relevant stakeholders
- Maintain overview and schedule of project activities and regularly communicate the changes and updates to the programme managers and other stakeholders.
- Ensure first-class stewardship and hospitality for honoured guests and speakers
- Follow best practice in terms of events project management, guest attendance and experience by seeking feedback and reviewing all completed events.
- Relationship management:
- Work with programme managers and faculty to ensure a coordinated approach to RSM events
- Act as a point of contact for queries from guests and alumni by telephone, letter, email and other media; respond in a timely and efficient manner.
- Effective communication with and to all stakeholders:
- Act as first point of contact for all stakeholders in relation to assigned events projects
- Develop and maintain positive working relationships with a wide network of external partners and stakeholders related to assigned projects including host schools/universities, corporate contacts, hotel staff and faculty
Job requirements
To be successful in this position, you will need to have the following knowledge, expertise or skills:
- A Bachelor’s degree or equivalent through experience.
- Minimum 5-7 years of working experience in events project management or equivalent
- Ability to deliver efficient, up-to-date and professional events project administration
- Ability to work and communicate effectively with all levels within and outside the organisation
- Good IT skills and fast learner in new software applications
- Excellent verbal and written communication skills in English (Dutch is a benefit)
In addition to these skills, you have a service oriented, friendly and professional attitude and you can take initiative and work independently. You have an organisational talent that is efficient, accurate and on top of things. Lastly, you are willing to travel occasionally and to work outside of normal office hours for the delivery of our events.
